This tutorial describes the methodology behind user roles/accounts (how to decide what to grant).
Basic User Roles
The security settings grants access to specific screens (and in some cases, specific fields):
- Employee - post transactions and add contacts
- Manager - employee plus manage campaigns, templates, forms, offers, users, etc.

Business owner - manager plus these reward program settings:
- Allow Receipt Uploads
- Allow Transactions Pending
- Allow Shipping Rewards
- Allow Social Sharing
- Allow Gamification
- Allow Customer Offer Redemption
- Terms of service
- Administrator & Distributor - access to nearly every screen and field, including
- Website settings
- Creating business & reward program
- Managing built-in templates
- Global image files and folders
- One specific administrator controls every screen (including all administrator accounts)
NOTE - Roles do not specify business(es), reward program(s) or location(s).
A role can create users at a lesser level of access. Thus, Business Owners can create Managers and Employees, but not other owners. Administrators can create distributors. Employees cannot create user accounts.
RoboRewards can create customized roles to meet your needs (e.g. a manager with access to contacts, transactions, surveys & statistics, but not campaigns, triggers or autoresponders).
Assigning User Accounts
User accounts require these settings:
- Full Name
- Email Address
- Username (shared with other users on the same website)
- User role
- Business, reward program(s), location(s)
RoboRewards places no limit to the number of user accounts.
Account creators can attach mandatory notifications to a specific user account to improve accountability.
Consider deactivating an account rather than deleting it for temporary employees or leaves of absence.
